How SheetFormR accesses, uses, and protects your data

What Data SheetFormR Accesses
📧 Your Email Address
Used only to verify your subscription status with our license server and to create Stripe checkout sessions for subscription management. Your email is never used for marketing, newsletters, analytics, or shared with any third party beyond our payment processor.

SheetFormR reads question text, answer choices, and settings from the spreadsheet you currently have open. It writes AI-generated questions and grade sync results back to that same spreadsheet. It cannot access any other spreadsheet in your account.

SheetFormR creates new Google Forms™ from your spreadsheet data and configures quiz settings, answer keys, and point values. For Grid-type questions, it uses the Forms REST API to apply answer keys that the standard service cannot handle. It also reads form structure for grade synchronization.
forms forms.body🎓 Google Classroom™ Data (only if you use Classroom features)
When you choose to import a roster or create a Classroom assignment, SheetFormR accesses course names, student names, and student email addresses from your selected course(s). This data is written directly into your spreadsheet and is never transmitted to SheetFormR servers, AI services, or any third party. Student email addresses accessed via Google Classroom™ are stored only within the user's Google Sheets™ document and are used solely as unique identifiers for matching quiz responses to roster entries.

When you use AI-powered question generation or improvement, your prompt text and authenticated email address are sent to a SheetFormR-controlled Google Cloud Run™ service. The Cloud Run service validates your license and forwards only the prompt text to Google's Gemini™ API. No spreadsheet content, student data, Classroom data, or any other information from your account is included in AI requests. Your email is used solely for license validation and usage enforcement within our service.
🖼️ Drive Image URLs (only if you provide them)
If you paste a Google Drive™ sharing link as an image source in your spreadsheet, SheetFormR fetches that specific image for embedding in your Form. It does not browse, list, or access any other files in your Drive.
What SheetFormR Never Does
- Access other spreadsheets, documents, or files in your Google account
- Send student names, emails, or grades to external servers or AI services
- Use your email address for marketing, newsletters, or advertising
- Sell, share, or trade your data with any third party
- Store your spreadsheet content on our servers
- Read your Gmail, Calendar, Drive, or any other Google service
- Access Classroom data unless you explicitly initiate a Classroom feature
- Track your usage with third-party analytics or advertising tools
- Use any Google Workspace™ API data, user prompts, or user content to train AI or machine learning models
What We Store on Our Servers
The only data SheetFormR stores outside your Google account is a license record containing your email address and subscription status (trial, pro, or expired). This record is stored securely in Google Firebase and is used exclusively for subscription management. We do not store your spreadsheet content, student data, form content, or any Classroom data.
External Services We Use
- Google Cloud Run™ (AI Middleware) — receives your prompt text and email for license validation, then forwards only the prompt to Gemini
- Google Gemini™ API — processes your AI prompts to generate or improve quiz questions
- Stripe — processes subscription payments securely (we never see your full card number)
- Firebase — stores your license record (email + subscription status)
- CodeCogs / i.upmath.me — renders math equations as images when you enable Math Mode (only LaTeX notation is sent, no personal data)
All outbound requests from SheetFormR are restricted to a fixed list of whitelisted domains. No data is sent to any domain outside this list.

SheetFormR complies with the Google API Services User Data Policy, including the Limited Use requirements. SheetFormR's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
