      Summary: SheetFormR processes your data only to provide its features. Your spreadsheet content, student rosters, and form data remain in your Google Workspace™. When you use optional features like AI question generation or Math Mode, only the specific content you're processing (question text or equation notation) is transmitted to third-party services—never student names, emails, or Classroom data. We don't sell your data.
    

1. Introduction

SheetFormR ("we," "our," or "the Add-on") is a Google Workspace™ Add-on that transforms Google Sheets™ data into Google Forms™. This Privacy Policy explains how we collect, use, and protect information when you use SheetFormR.

By installing or using SheetFormR, you agree to this Privacy Policy. If you do not agree, please do not use the Add-on.

2. Information We Collect

2.1 Information You Provide

Google Account Email: When you use SheetFormR, we access your Google account email address solely to verify your subscription status (free, trial, or Pro).
Payment Information: If you subscribe to SheetFormR Pro, payment is processed by Stripe. We do not store credit card numbers or payment details—Stripe handles all payment data under their Privacy Policy.

2.2 Information Processed (But Not Stored by Us)

SheetFormR accesses the following data to provide its features. This data is processed in real-time and remains in your Google Workspace™:

Spreadsheet Content: Questions, answer choices, point values, and other quiz data from your active spreadsheet.
Google Forms™: Forms created by the Add-on, including questions, answer keys, and settings.
Google Classroom™ Data: Course names, student names, and email addresses when you use the roster import feature. Classroom data is accessed only when the user explicitly initiates Classroom features and is never accessed automatically.

Student Email Usage: Student email addresses are used solely to accurately match Google Form™ responses to enrolled students for grading and roster synchronization purposes, and are not used for communication, marketing, or identification outside the user's own spreadsheet.

Important: SheetFormR does not store your spreadsheet content, student rosters, or form data on its servers. When you use specific optional features:

AI Features (Forge AI, Polish): Your prompt text and authenticated email address are sent to a SheetFormR-controlled Google Cloud Run™ service, which forwards only the prompt text to Google Gemini™ API for processing. Your email is used solely for license validation and usage enforcement within our service—never student names, grades, or Classroom data.
Math Mode: Only the mathematical notation (LaTeX code) is sent to equation rendering services. The resulting image URLs are publicly accessible and embedded in your Google Form™.

Your roster data, student information, and form responses always remain within your Google Workspace™.

2.3 Information Collected Automatically

License Status: We store your email address and subscription status (trial start date, Pro subscription status) on our secure servers to manage your license.
Error Logs: If errors occur, Google Apps Script may log error messages to Google Cloud™'s Stackdriver. These logs do not contain your spreadsheet content.

4. Third-Party Services

SheetFormR integrates with the following third-party services:

4.1 Google APIs

We use the following Google APIs to provide core functionality:

Google Sheets™ API: Read your spreadsheet data (question text, answer choices, settings) from the currently open spreadsheet only. SheetFormR never accesses other spreadsheets in your account.
Google Forms™ API: Create and configure Google Forms™ and Quizzes from your spreadsheet data, including setting titles, descriptions, questions, answer keys, and point values.
Google Forms™ REST API (forms.body): Used specifically for operations that the standard FormApp service cannot perform: applying correct answers and point values to Grid-type quiz questions, and reading the complete form structure for accurate grade synchronization. This scope supplements — not replaces — the standard Forms API.
Google Drive™: When you provide a Google Drive™ sharing URL as an image source, SheetFormR converts it to a downloadable image blob for embedding in your Form. SheetFormR does not browse, list, or access any other files in your Drive.
Google Classroom™ API: When you explicitly use the Classroom features, SheetFormR accesses course lists, student rosters, and student email addresses for roster import and quiz assignment creation. Student email addresses are used solely as unique identifiers for matching roster entries to quiz responses — they are never used for marketing, analytics, or any purpose beyond score matching within your spreadsheet.

Your use of these services is governed by Google's Privacy Policy.

4.2 User Identity

SheetFormR uses your Google account email address (via the userinfo.email scope) solely for the following purposes:

Verifying your subscription status with our license server
Creating Stripe checkout sessions for subscription management
Identifying your account when contacting support

Your email address is transmitted to our Cloud Run AI service (for license validation), Firebase license server, and Stripe payment processor. It is never stored in spreadsheet logs or used for marketing purposes.

4.3 Google Gemini™ API (AI Features)

When you use "Forge AI" (question generation) or "Polish" (question improvement), your prompt text and authenticated email address are sent to a SheetFormR-controlled Google Cloud Run™ service for license validation and usage enforcement. The Cloud Run service then forwards only the prompt text to Google's Gemini API for processing. No student names, email addresses, grades, or Google Classroom™ data are included in AI requests; only the prompt content explicitly provided by the user is forwarded to Gemini. See Google AI Terms.

4.4 Stripe (Payments)

Subscription payments are processed by Stripe. We do not have access to your full payment card details. See Stripe's Privacy Policy.

4.5 Firebase (License Management)

We use Google Firebase to securely store license information (email and subscription status). See Firebase Privacy.

4.6 Google Cloud Run™ (AI Middleware)

AI requests from Forge AI and Polish are routed through a SheetFormR-controlled Google Cloud Run™ service hosted in the United States. This service receives your prompt text and authenticated email address, validates your license status, enforces usage limits, and forwards only the prompt text to Google's Gemini™ API. Your email address is not forwarded to Gemini and is used solely for license validation within our own infrastructure.

4.7 Equation Rendering Services (Math Mode)

When generating math equations with the "Includes Math/Equations" feature, LaTeX code is sent to external rendering services to generate PNG images:

CodeCogs: Primary rendering service. See CodeCogs Privacy Policy.
i.upmath.me: Backup rendering service used if CodeCogs is unavailable. See i.upmath.me.

Data Transmitted: When you enable "Includes Math/Equations" in Forge AI, only the LaTeX mathematical notation from your question text is sent to these services. No student data, names, emails, or any personally identifiable information is transmitted. The services return a public image URL that is embedded directly into your Google Form™.

Public Accessibility: Because these are public URLs, anyone with access to the Form can view the equation images. The images contain only mathematical notation and no personal or student data.

Equation images may be cached by the rendering services according to their own retention policies. SheetFormR does not control their retention practices.

5. What We NEVER Send to Third-Party Services

Regardless of which features you use, the following data is never transmitted to any third-party service (including AI services and equation renderers):

Student names or email addresses
Google Classroom™ roster data
Form responses or student grades
Spreadsheet content other than the specific question text or equation you're processing
Any data from your Google Drive™
Your personal Google account information (other than email for license verification)

No AI/ML Training: SheetFormR does not use any Google Workspace™ API data, user prompts, or user content to train artificial intelligence or machine learning models. Prompt text sent to Google Gemini™ API is processed under Google's API terms and is not used by SheetFormR for any purpose beyond generating the requested response.

6. Data Retention

License Data: Your email and subscription status are retained as long as you have an active account. If you cancel, we retain minimal records for accounting purposes.
Spreadsheet/Form Data: We do not store this data. It remains in your Google Workspace™ and is subject to your own retention settings.
Equation Images: Images generated by Math Mode are hosted externally by CodeCogs or i.upmath.me. These images may be cached by these services according to their own retention policies, and SheetFormR does not control their retention practices.

7. Data Security

We implement appropriate security measures including:

All data transmission uses HTTPS/TLS encryption
License verification uses secure Firebase Cloud Functions
We do not store sensitive data (passwords, payment cards, spreadsheet content) on our servers
OAuth 2.0 for secure Google account authentication

8. Your Rights and Choices

You have the right to:

Access: Request what data we have about you (limited to email and subscription status)
Delete: Request deletion of your license data by contacting us
Revoke Access: Remove SheetFormR's access to your Google account at any time via Google Account Permissions
Cancel Subscription: Manage or cancel your subscription through the Stripe billing portal

9. Children's Privacy

SheetFormR is designed for use by educators and is not directed at children under 13. Teachers using SheetFormR may process student information within their Google Workspace™ in accordance with their institution's policies and applicable laws (such as FERPA in the United States).

We do not knowingly collect personal information directly from children. Student data accessed via Google Classroom™ remains within the teacher's Google Workspace™.

10. International Data Transfers

Our servers and third-party services (Google Cloud™, Firebase, Stripe) may process data in the United States and other countries. By using SheetFormR, you consent to this transfer. We ensure appropriate safeguards are in place for international transfers.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify users of significant changes by updating the "Last Updated" date and, where appropriate, providing notice within the Add-on. Continued use after changes constitutes acceptance of the updated policy.

12. Google API Services User Data Policy

SheetFormR's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

SheetFormR does not use Google user data for advertising, profiling, or any purpose unrelated to providing its core functionality.
